ES Housing & Relocations provides corporate relocation services to international companies and their employees. In the context of these services, we may process personal data, including identification and employment-related documentation.
We recognise the sensitivity of such information and apply strict standards of confidentiality, proportionality and data minimisation.

ES Housing & Relocations, established in Rotterdam, registered with the Dutch Chamber of Commerce under number 72380594, acts as the controller for the personal data described in this Privacy Statement.

We process personal data relating to:
- Corporate client representatives (e.g. HR managers, mobility specialists)
- Employees or expatriates supported as part of relocation assignments
- Prospective business contacts

B. Relocation and rental documentation
Where required for housing applications, we may temporarily process:
- Passport or identification document
- Employment contract
- Employer’s declaration
- Salary slips
- Address details
- Family composition information
- Housing preferences and budget information
We collect and process only the documentation strictly necessary to complete rental procedures and fulfil the relocation assignment.
ES Housing & Relocations does not request or intentionally process national identification numbers (such as a Dutch BSN). Where such numbers appear on documentation provided to us, they are not used for any purpose and are handled confidentially.
4. Purposes of processing
Personal data is processed for:
- Managing corporate client relationships
- Executing relocation assignments
- Coordinating housing searches
- Submitting rental applications to landlords or agents
- Verifying identity and financial eligibility where required
- Fulfilling contractual and administrative obligations
- Complying with applicable legal requirements
5. Legal basis
Processing is based on:
- Performance of a contract with the corporate client
- Taking steps at the request of the employee prior to entering into a rental agreement
- Legitimate interests in delivering effective relocation services
- Compliance with legal obligations
6. Data sharing
Personal data is shared only where necessary for the execution of the relocation assignment, including with:
- Landlords and real estate agents
- Professional advisers where relevant
- IT and hosting service providers
Our website is hosted via Wix. This may involve processing of personal data outside the European Economic Area (EEA). Where data is transferred outside the EEA, appropriate safeguards are implemented, including Standard Contractual Clauses approved by the European Commission.
We do not sell personal data to third parties.
7. Retention and deletion
Personal data is retained only for as long as necessary to fulfil the purposes described above.
Identification and employment documentation collected for rental procedures is stored temporarily and deleted no later than 30 days after completion of the relocation assignment, unless a longer retention period is required by law.
Business contact data may be retained for the duration of the commercial relationship.
8. Security measures
Given the sensitivity of identification and employment documentation, ES Housing & Relocations applies appropriate technical and organisational safeguards, including:
- Restricted access to sensitive documentation
- Secure digital storage environments
- Access limited to authorised personnel only
- Controlled sharing with landlords and agents
9. Data subject rights
Individuals have the right to:
- Request access to their personal data
- Request correction or deletion
- Request restriction of processing
- Object to processing

Individuals may also lodge a complaint with the Autoriteit Persoonsgegevens or another competent supervisory authority.
